01Who we are
Centauri Media Ltd ("Centauri", "we", "us") is the data controller for personal data collected through this website, www.centauri.org.uk. We are a company registered in England and Wales, company number 16489171, with our registered office at 15-16 Newhall Place, Birmingham B1 3JH.
Our ICO registration number is [CONFIRM: ICO registration number]. You can contact us about anything in this policy at info@centauri.org.uk.
We process personal data in line with the UK General Data Protection Regulation (UK GDPR), the Data Protection Act 2018 and the Privacy and Electronic Communications Regulations 2003 (PECR).
02What we collect, and why
Booking a call. When you use the booking form we collect your name, email address, phone number, company name and city or region, together with your answers to the short set of questions about what you need and your budget. We use this to prepare for and hold the call, and to follow up on it. Lawful basis: taking steps at your request before entering into a contract (Article 6(1)(b)), and our legitimate interest in following up enquiries (Article 6(1)(f)). While you work through the form, each answer is saved against an anonymous session identifier so that you can pick up where you left off; the identifier expires after 30 days and answers from unfinished forms are deleted after [CONFIRM: 30 days].
Applying to act with us. When you apply through the actors page we collect your name, phone number, where you are based, your occupation, your age and a short video of you. The video is used only to assess suitability for on-camera work in our clients' content. Lawful basis: your explicit consent, given by ticking the box on the form (Article 6(1)(a)). You can withdraw it at any time by emailing us, and we will delete your application and video. Applications we do not take forward are deleted after [CONFIRM: 12 months].
Joining the creative network. When you sign up on the careers page we collect your name, email address, Instagram handle and, optionally, a portfolio link, so that we can contact you when a brief fits your work. Lawful basis: consent (Article 6(1)(a)). We keep your details until you ask us to remove them or until [CONFIRM: 24 months] without contact, whichever is sooner.
Applying for a job. When you apply for an advertised role we collect the details you provide in the application form. Lawful basis: taking steps at your request before entering into a contract (Article 6(1)(b)). Unsuccessful applications are deleted after [CONFIRM: 6 months].
Events. When you submit an event idea we collect your name, email address and the details of your idea. When you RSVP to an event we collect your name and email address so that we can manage attendance. Lawful basis: our legitimate interest in running the events we host (Article 6(1)(f)).
Downloading a resource. When you download a guide or template the file is sent to your browser straight away, and we collect your email address and, optionally, your name, having asked you to tick a box agreeing that we may email you occasional updates. Lawful basis: consent (Article 6(1)(a)). Every email we send you includes an unsubscribe link.
Visiting the site. With your consent, Google Analytics and Meta Pixel collect information about your visit — pages viewed, actions taken, approximate location, device and browser type — so that we can understand how the site is used and measure and target our advertising. Lawful basis: consent (Article 6(1)(a)), which we ask for through the cookie banner and which you can withdraw at any time via "Cookie settings" in the footer. Vercel Web Analytics records page views without cookies and without identifying you. Our hosting provider also keeps standard server logs (IP address, browser type, time of access) for security and performance; lawful basis: legitimate interests (Article 6(1)(f)).
We do not run a newsletter and we do not have a general contact form. If you email us at info@centauri.org.uk we will hold your message for as long as we need it to deal with your enquiry.
03Who we share it with
We do not sell personal data. We share it only with the service providers below, each of which processes it on our instructions under a written contract:
Supabase, Inc. — hosts our database and file storage, including booking answers and enquiries, resource-download sign-ups, applications, event submissions and applicant videos. Data is stored in the EU (Frankfurt, Germany).
Calendly LLC — the scheduling tool embedded in the booking form, which receives your name and email address when you pick a slot. United States.
Google LLC (Google Analytics) and Meta Platforms Ireland Ltd (Meta Pixel) — analytics and advertising, only with your cookie consent.
Vercel, Inc. — website hosting and cookieless page-view analytics. United States.
We may also disclose personal data where the law requires it, to enforce our terms, or to protect the rights, property or safety of Centauri, our clients or others.
04International transfers
Several of the providers above are based in, or store data in, the United States. Where personal data leaves the UK we rely on the UK Extension to the EU-US Data Privacy Framework for providers certified under it, and otherwise on the International Data Transfer Agreement or the UK Addendum to the EU Standard Contractual Clauses, together with our own assessment that the transfer is adequately protected. You can ask us for a copy of the relevant safeguard at info@centauri.org.uk.
05How long we keep it
We keep personal data only for as long as the purpose we collected it for requires, and the specific periods are given in section 2 above. Booking and client records are kept for the life of the relationship and six years afterwards for contractual and accounting reasons. When data is no longer needed we delete it or anonymise it.
06Your rights
Under the UK GDPR you have the right to: access the personal data we hold about you; have inaccurate data corrected; have your data erased; restrict or object to our processing; receive the data you gave us in a portable format; and withdraw consent at any time where consent is our lawful basis, without affecting anything done before you withdrew it.
To exercise any of these rights, email info@centauri.org.uk. We will respond within one month and will not charge you unless a request is manifestly unfounded or excessive.
If you are unhappy with how we have handled your data you can complain to the Information Commissioner's Office at ico.org.uk or on 0303 123 1113. We would appreciate the chance to resolve your concern first.
07Security
Personal data is stored with access controls that restrict it to the staff who need it; the booking form, for example, can only read or write the answers belonging to the session that created them. Data in transit is encrypted with TLS. No system is completely secure, and we will tell you and the ICO where the law requires it if a breach affects you.
08Children
Our services are for businesses and for adults. The actors application form is restricted to people aged 18 or over, and we do not knowingly collect personal data from anyone under 18. If you believe a child has given us personal data, contact us and we will delete it.
09Links to other sites
The site links to third-party sites and embeds content from TikTok and Instagram. Those services have their own privacy policies and we are not responsible for them.
10Changes to this policy
We will update this page when our data practices change and show the date of the last change at the top. Material changes to how we use data you have already given us will be flagged on the site or by email.
